Clerk of Court

CASe STUDY

A Clerk of Court's office houses original copies of all land records in that parish or county, from the inception of the parish in the 1800s to present date, which amounts to thousands of instruments. These records reveal ownership of land and minerals and are an important part of commerce for both the real estate and oil and gas industries. Clerks are tasked with manually extracting and keying in data points from instruments for search-ability and retrieval. Landmen and others search the land records based on the indexing performed by the Clerk's office. A mis-indexed document can create a multitude of problems and Clerks of Court strive for accurate indexing in their land records.

  • DIGITIZE
    In this instance, recorded instruments were in various phases of digitization. Early instruments from the 1800s to 1950s are not scanned, but instruments from 1950 to present date are in digital format. New instruments are recorded and must be indexed every day. Therefore, we faced multiple challenges: scanning the older instruments and ensuring proper digitization of currently scanned instruments so that all instruments could be unlocked with OCR.
  • LEVERAGE
    After converting the digitized documents to readable and searchable files with OCR, our developers created a program to extract indexable data - including names, STR, property descriptions, and dates - from recorded instruments. Additionally, we enhanced data accessibility through advanced vector search and retrieval-augmented generation framework.
  • ENHANCE
    To address the manual data entry inefficiency associated with indexing, we integrated a user interface that presents the data to be indexed, allowing for quick and easy verification of that information by Clerks. We also updated the search mechanism on the Clerk's online records to enable searching by STR.
